Refund Policy

1. Overview
Desert Air Solutions LLC is committed to your complete satisfaction with our HVAC services. This Refund Policy outlines the terms and conditions under which refunds, credits, or adjustments may be issued. We stand behind the quality of our work and will make every reasonable effort to resolve any concerns you may have.
This policy applies to all services provided by Desert Air Solutions LLC, located at 4416 Rhineland Dr, Fort Irwin, CA 92310, serving Fort Irwin, Barstow, Victorville, Apple Valley, Hesperia, Adelanto, and the greater San Bernardino County area.
2. Service Deposits
For large installations and equipment replacements (typically $3,000 or more), we may require a deposit of up to 50% of the total project cost to secure materials and scheduling. Deposits are refundable under the following conditions:
- Full deposit refund if you cancel at least 72 hours before the scheduled installation date
- 50% deposit refund if you cancel between 24 and 72 hours before the scheduled installation date
- No deposit refund for cancellations made less than 24 hours before the scheduled installation date, as materials may have already been ordered and labor scheduled
- Full deposit refund if Desert Air Solutions LLC is unable to fulfill the service as agreed
3. Refund Eligibility
Refunds may be issued in the following circumstances:
- Service was not performed as described or agreed upon in the service agreement
- Equipment installed was defective and cannot be repaired or replaced under warranty
- Desert Air Solutions LLC was unable to complete the service due to circumstances within our control
- Duplicate payment was made for the same service
- Overcharge occurred due to billing error
Refunds are not available for services that were completed as described, even if you are dissatisfied with the outcome of a repair that was beyond our control (e.g., a system that fails again due to pre-existing conditions not related to our repair).
4. Inspection and Diagnostic Fees
Diagnostic and inspection fees cover the cost of our technician's time, expertise, and travel to your property. These fees are non-refundable once the inspection or diagnostic service has been performed, regardless of whether you proceed with the recommended repairs.
If you choose to proceed with a repair or installation following a paid diagnostic, the diagnostic fee may be applied as a credit toward the total cost of the repair or installation, at our discretion.
5. Scheduling and Trip Fees
Trip fees charged for emergency or after-hours service calls are non-refundable once a technician has been dispatched to your location. If you cancel an emergency service call after a technician has been dispatched, the trip fee will still apply.
6. Cancellation Rules
Standard service appointments may be cancelled without charge with at least 24 hours notice. Cancellations with less than 24 hours notice may incur a cancellation fee of up to $75. This fee covers the cost of scheduling and the opportunity cost of the reserved appointment slot.

7. Completed Services
Once a service has been completed and payment has been made, refunds are generally not available unless there was a clear error in billing or the service was not performed as agreed. If you are dissatisfied with a completed service, please contact us within 7 days of the service date to discuss your concerns.
We take all customer concerns seriously and will work with you to find a satisfactory resolution, which may include a return visit to address any issues, a partial credit, or in appropriate cases, a refund.
8. Installed Equipment
HVAC equipment that has been installed is generally non-returnable and non-refundable, as it becomes part of your property upon installation. If installed equipment is found to be defective, we will work with the manufacturer to process a warranty claim and replace the defective equipment at no additional charge.
If you change your mind about installed equipment after installation is complete, we cannot accept returns or issue refunds for the equipment cost. Labor costs for installation are also non-refundable once the installation has been completed.
9. Manufacturer Warranty Procedures
All HVAC equipment we install comes with the manufacturer's warranty. Warranty periods vary by manufacturer and product. If your equipment experiences a defect covered by the manufacturer's warranty, please contact us and we will:
- Diagnose the issue to determine if it is covered under warranty
- File the warranty claim with the manufacturer on your behalf
- Coordinate the repair or replacement of defective parts
- Perform the warranty repair at no charge for covered defects
Labor costs for warranty repairs may or may not be covered depending on the manufacturer's warranty terms. We will inform you of any potential labor costs before proceeding with warranty work.
10. Custom Orders and Special Equipment
Custom-ordered equipment, specialty HVAC components, or items ordered specifically for your project are non-refundable once the order has been placed. We will inform you when an order involves custom or special-order items and obtain your written approval before placing such orders.
11. Financing Transactions
If you financed your HVAC purchase through one of our financing partners (GreenSky, Synchrony Financial, or others), refund requests must be coordinated with both Desert Air Solutions LLC and the financing company. Refunds for financed purchases are subject to the terms of your financing agreement.
Please contact us first at info@desairsol.com to initiate a refund request for a financed purchase. We will work with the financing company to process any approved refunds in accordance with their procedures.
12. Chargebacks
We strongly encourage you to contact us directly before initiating a chargeback with your credit card company. Most issues can be resolved quickly through direct communication. Unauthorized chargebacks for services that were properly rendered may result in additional fees and may affect your ability to receive future services from Desert Air Solutions LLC.
13. Processing Times
Approved refunds will be processed within 5-10 business days. Refunds will be issued using the same payment method used for the original transaction. Credit card refunds may take an additional 3-5 business days to appear on your statement, depending on your card issuer. Check refunds will be mailed to the address on file.
14. Customer Responsibilities
To be eligible for a refund, customers must:
- Submit refund requests within 30 days of the service date
- Provide documentation supporting the refund request (receipts, photos, service records)
- Allow Desert Air Solutions LLC a reasonable opportunity to inspect the work and attempt to resolve the issue
- Not have caused damage to the HVAC system through misuse, neglect, or unauthorized modifications
15. Dispute Procedures
If you have a dispute regarding a refund or service, please follow these steps:
- Contact us directly at info@desairsol.com or 361-894-4470 to describe your concern
- We will respond within 2 business days to acknowledge your concern
- A manager will review your case and contact you within 5 business days with a resolution
- If you are not satisfied with our resolution, you may escalate to the California Contractors State License Board (CSLB)
